Real estate platform with AI: listings, leads, leases and property operations

A real estate platform is software that runs the property business from listing to lease: listings, leads, deals, commissions, tenants and maintenance, with AI that drafts listings, scores leads and matches buyers to properties. Netbase builds it as a custom platform on its real estate digital toolkit module, backed by delivered client work and its own real estate product, Poslor.

What a real estate platform does, and where it stops

A real estate platform is an industry solution that helps agencies, developers and property managers keep listings, enquiries and contracts in one system instead of portals, spreadsheets and chat threads. It publishes listings to the website and partner channels, sends each lead to the right agent, follows the deal to signature, and keeps leases, rent schedules and maintenance requests on the property record.

It stops at the specialist systems around the business. Listing portals, e-signature, accounting and payment providers keep their roles, and the platform connects to them. Valuation, legal checks and financial advice stay with licensed professionals.

The platform is a growth capability in the industry platforms family, built through custom software development.

The property workflow, step by step

The workflow, step by step:

  1. List

An agent creates the property with photos, features, price and energy information.

  2. Publish

The listing goes to the website, partner portals and widgets from one record.

  3. Capture

Enquiries from forms, portals, chat and calls become leads with their source.

  4. Route

Rules assign each lead to an agent by area, project or language, and set a response deadline.

  5. Nurture

Follow-ups, viewings and documents are logged on the lead.

  6. Deal

Offers, reservations and contracts move through pipeline stages with approvals.

  7. Close

The signed deal records commission splits for agents and partners.

  8. Manage

For rentals, the lease, rent schedule, deposits and maintenance requests live on the property.

  9. Review

Dashboards show listing performance, lead response time, conversion and occupancy.

Poslor: the Netbase real estate product

Poslor is a Netbase Business Division, alongside CMSmart, Printcart, Cloodo and Storelly. It is a real estate operating system that links listings, leads, deals and tracked commissions. It holds 627 live reviewed project records, runs as a live pilot in Vietnam with Japan and APAC named as its next markets, offers English and Vietnamese surfaces, and provides WordPress, Wix and widget integrations plus a public API.

Poslor is a licensed product. A custom real estate platform is built for your business and you own its custom code; some businesses combine both, using Poslor for listings and leads and a custom build for their own operations.

AI in this solution

Netbase works with the major AI models and tools, chosen per project. AI output about a property, a price or a person needs agent review, and lead scoring must not use characteristics that fair-housing or anti-discrimination rules protect.

Integrations, data, security and deployment

  • Systems

Typical connections are listing portals, website and widgets, e-signature, accounting, payment and messaging tools. The RESO Data Dictionary is a real estate data standard that defines listing fields, and we use it where partners and portals support it. The service layer runs on the backend platforms Netbase builds on.

  • Rules to plan for

In the EU, the revised Energy Performance of Buildings Directive, Directive (EU) 2024/1275, entered into force on 28 May 2024 with national transposition due by 29 May 2026, and strengthens energy performance certificates, so listings should carry energy data fields. GDPR Article 6 requires a lawful basis for processing lead data, and marketing consent is recorded separately. This is general information, not legal advice.

  • Data boundary

Listing, lead, tenant and deal records stay in systems you own; integration contracts define what goes to each portal or partner.

  • Security

Netbase security practices are designed in from day one: secure code review, TLS in transit and AES at rest, role-based access with MFA, vulnerability scanning, penetration testing and disaster recovery.

  • Deployment

The platform runs in the cloud account you choose; Netbase works with AWS, Google Cloud, DigitalOcean and Cloudflare.

Implementation phases, roles and support

  1. Pipeline review

Follow real listings and leads from enquiry to signature or lease, and list portals and tools.

  2. First release scope

Listings, lead capture and routing, and the deal pipeline.

  3. Build

Modules delivered in milestones agents can test.

  4. Integrate and test

Portals, e-signature and accounting, with full deal runs.

  5. Launch

Listing migration, agent training and go-live.

  6. Improve

Leases, maintenance, commissions or AI features. Netbase support runs Monday to Saturday, with Sunday off.

A typical team pairs a solution architect with developers, QA and a project manager, working with your sales and property management leads. The first release is a lean MVP that agents try in weekly Agile demos. The team works remote-first from Hanoi in English, and the platform is API-first, so portals, widgets, an agent mobile app and AI services share the same listing and lead records. In fast-growing property markets, where agents work from their phones and buyers ask in several languages, mobile-first and multilingual screens belong in that first release. Most Netbase projects are delivered on fixed-price contracts, with scope and price agreed after the pipeline review; milestone-based, monthly team retainer and KPI-linked terms are also offered.

Configuration, customization and ownership

  • Configured

Property types, listing fields, pipeline stages, routing rules, commission rules and message templates.

  • Customized

Portal connectors, project and unit inventory for developers, tenant portals and reports.

  • Ownership

You own the IP Netbase creates in your custom development; Netbase productized modules and Poslor are licensed, not transferred.
