Web-to-print platform with AI design assistance, from online design to a print-ready order

A web-to-print platform is an online ordering, design and prepress workflow that helps print businesses sell custom products: customers configure, design and approve their order online, AI can suggest layouts and catch artwork problems, and production receives a print-ready file. Netbase has delivered 50+ custom web-to-print platforms across apparel, packaging, signage, promotional merchandise and corporate B2B portals.

What a web-to-print platform does, and where it stops

A web-to-print platform turns a print shop's counter, email inbox and prepress desk into one self-service workflow. It helps print business owners and operations managers sell configurable, personalized products online without adding staff for every order.

It covers everything between the customer's idea and the press: product setup, pricing rules, the online design tool, artwork checks, proofing, checkout, print-ready file generation and order routing. It stops at the production floor. Presses, finishing equipment and logistics stay as they are; the platform feeds them clean, complete jobs.

Netbase delivers it as a custom build on the commerce platform you choose, and it sits inside the wider commerce experience family of solutions.

The web-to-print workflow, step by step

The workflow, step by step:

  1. Choose

The customer picks a product and its options: size, material, quantity, finish.

  2. Price

Pricing rules calculate the cost from those options, including volume breaks.

  3. Design

The customer starts from a template, designs in the browser or uploads finished artwork.

  4. Check

Preflight rules test resolution, dimensions, bleed and safe zones, and flag problems while the customer can still fix them.

  5. Approve

A live preview, in 2D or 3D, becomes the proof the customer signs off.

  6. Pay

Checkout captures payment, delivery details and job notes.

  7. Prepare

The platform generates the print-ready file and attaches it to the order.

  8. Produce

The order routes to the right production queue, partner or site, and status updates flow back to the customer.

  9. Reorder

Saved designs and B2B templates turn the next order into a quick repeat instead of a new project.

Capability modules

Products, materials, sizes, finishes → Models every printable variant → Configurable product pages

Options, quantities, customer group → Calculates prices and volume breaks → Price on the page and in the cart

Templates, text, images, fonts → Lets customers design in the browser → Editable, saved designs

Customer files → Checks resolution, size, bleed and colour setup → Accepted artwork or a clear fix request

Design plus product model → Renders live 2D or 3D previews → Approved digital proof

Cart, payment method, delivery → Takes secure payment → Paid order with job details

Approved design → Generates print-ready output → Production file attached to the order

Paid orders → Sends jobs to queues, sites or partners → Tracked jobs and customer updates

Company accounts, brand assets → Locks templates, prices and approvals → Controlled corporate ordering

Catalog and behaviour data → Suggests related products; converts artwork to vector → Relevant cross-sells and cleaner files

AI design assistance print buyers now expect

We build AI into the tool where it saves a proof round or a prepress fix, and the customer still signs off every proof.

AI for your customers and your prepress desk:

  • Layout and text suggestions

Templates, fonts and headline options that fit the product's print area.

  • Background removal and image upscaling

Photos and logos cleaned up in the editor, with a warning when an image is still too small to print well.

  • Logo vectorisation

Raster logos converted to vector artwork for print.

  • AI artwork preflight

Resolution, bleed, safe-zone and colour problems explained in plain words while the customer can still fix them; borderline files go to a prepress operator.

  • Recommendations

Related products and finishes suggested from order behaviour, as delivered for 4over4.

  • Catalog and template tagging

Product copy and template tags drafted by AI for your team to approve.

Where people stay in control. AI never alters an approved proof, prepress staff decide on flagged files, and models are chosen per project from commercial or open-source options, so customer artwork only reaches model services whose data terms you have approved.

Integrations, data, security and deployment

Netbase has delivered commerce on WooCommerce, Magento 2, Laravel and headless architectures, and works across a wider stack from Shopify and Shopware to Salesforce, Akeneo and Odoo. A web-to-print platform typically connects to payment gateways, shipping and tax services, your print MIS or ERP, CRM and fulfilment partners. For stack choices, see commerce and enterprise platforms; for design tools and storefronts, see frontend and mobile.

  • Data boundary

Customer accounts, artwork, orders and pricing stay in the systems you own. Integration contracts define what moves where.

  • Security

Security is designed in from the first sprint: secure code review, TLS in transit and AES at rest, role-based access, MFA for admin dashboards, vulnerability scanning and penetration testing, and disaster recovery planning, with NDAs, DPAs and SLAs on request. Our quality and security service covers testing in depth through quality engineering and testing.

  • Deployment

Three options: extend your current store, build a custom platform, or go headless with a separate storefront and commerce core.

Implementation phases, team and support

  1. Discovery

Products, pricing logic, artwork rules, integrations and success metrics.

  2. Experience design

Product pages, design tool flows and proofing, tested with real customer tasks.

  3. Build

Modules delivered in milestones through web application development and e-commerce development.

  4. Integrate and test

Payments, MIS or ERP, file output and full order runs.

  5. Launch

    Data migration, training and go-live.

  6. Optimize

Conversion, order effort and turnaround measured and improved.

The build runs in Agile sprints, each ending in a weekly demo of the design tool on a staging store, so your print staff test real orders long before launch. The team works remote-first from Hanoi in English, with progress visible in Jira or GitHub, and the platform is API-first, so the storefront, a mobile app and your MIS share one order flow.

Typical e-commerce timelines run 1 to 3 months for a small build, 4 to 6 months for a mid-sized one and 6 to 12 months or more at enterprise scale. Before you start, work through our web-to-print implementation checklist; software delivery quality governance explains how releases are held to acceptance criteria.
