Business process transformation that readies workflows for AI and automation

Netbase provides business process transformation consulting for operations leaders to map and redesign a process before any software is built, so AI agents, automation and integration target the steps that actually slow the business down. You get a measured current state, a redesigned target process and a scoped roadmap the same team can deliver.

What business process transformation includes

Most automation projects fail quietly: they make a broken process run faster. Business process transformation fixes the process first. We follow one workflow end to end, such as lead to cash or order to delivery, measure where time and quality are lost, and redesign it with the people who run it. Software, integration and AI come after that, aimed at specific steps. It is one of the lead offers of our Strategy & Consulting family.

Included

  • Current-state process maps built with the people who do the work
  • Measurement of hand-offs, waiting time, re-keying and rework
  • A redesigned target process with roles, rules and exceptions
  • Automation, integration and AI candidates ranked by value and risk
  • System and data-flow requirements for the target process
  • A scoped roadmap and a first delivery phase ready to start

Not included

  • Organisation redesign, headcount planning or HR restructuring
  • Legal, tax or accounting advice
  • Process certification or audit services
  • Software licence resale
  • Change programmes with no software outcome

Maps use a standard notation, Business Process Model and Notation (BPMN) from the Object Management Group, so your team and any future vendor can read them.

When to use it, and when another route fits

Process transformation pays off when the problem is how work moves between people and systems, not a single missing feature.

Good fit

  • Orders, customers or approvals are re-keyed between tools
  • Cycle times vary and nobody can say where the days go
  • Leadership wants automation or AI but nobody has agreed which steps
  • Several teams or vendors own parts of one workflow

Another route fits better

  • One well-specified feature on one system: go straight to delivery
  • A company-wide question with no workflow in view: start with digital transformation consulting
  • A process that is already documented and only needs building
  • No process owner on your side who can make decisions

Every other route is listed in the services directory.

Outcomes and buyer jobs

Operations leaders hire this service to:

See the real process

A shared map of how work actually flows, including the exceptions and workarounds nobody wrote down.

Remove manual work where it costs most

Re-keying, chasing and duplicate checks are ranked by time and error cost before anything is automated.

Decide where automation and AI belong

Each step is marked keep, simplify, remove, automate, integrate or assist with AI, and the reason is recorded.

Get a buildable scope approved

The target process becomes a backlog, an estimate and a first phase that finance can sign off.

Capability modules and deliverables

Stakeholder interviews, walkthroughs and a current-state map with exceptions

Volumes, cycle times, hand-offs and rework per step, from your data where it exists

The redesigned process, roles, business rules and exception paths

Step-by-step candidates for workflow automation, integration and AI assistance, with risks

Integration points, data ownership and the records each step creates

A phased roadmap, backlog, acceptance criteria and a delivery estimate

Where the target process needs software, we check our productized module library first: a CRM and B2B sales engine, a workflow automation toolkit, an AI chatbot and WorkChat integrator, Smart ERP Light, a real estate digital toolkit and an e-commerce accelerator. Reusing a proven module is often quicker than building from a blank page.

Delivery process, team and governance

Process work runs the first steps of our six-step delivery lifecycle and hands straight into the rest:

  1. Discovery and strategic alignment

Workshops with sponsors and with the people who run the process, to agree scope, pain points and measures of success.

  2. Team assembly and architecture planning

Business analysts map and measure; a solution architect turns the target process into system and integration requirements.

  3. Agile execution with outcome-based milestones

Once you approve the roadmap, delivery runs in milestones tied to process outcomes, not only to features.

  4. Modular and productized components

Proven modules are reused where they fit the redesigned process.

  5. Training, rollout and optimization

People learn the new process and the software together, and the baseline is measured again.

  6. Ongoing support and co-building

The process keeps improving as volumes and rules change.

Teams range from 3 to 30 people, and delivery typically starts within one to two weeks after discovery. The approach is lean: remove waste before automating it, pilot the redesign on one team, then scale. Governance runs remote-first in English, with weekly reviews, KPI dashboards, a dedicated account manager and project manager, and Slack, Zoom and client dashboards.

AI in this service

We decide where AI and agents fit only after the process is mapped and measured. A step qualifies when its inputs are available, its mistakes are cheap to catch and a person can review the result; steps with legal, financial or safety consequences keep a human approval. Typical candidates are reading incoming documents, classifying and routing requests, drafting quotes or replies, predicting delays and reconciling records between systems, often as part of an AI transformation. During discovery, AI can summarise interview notes, analyse system event logs and draft first-pass maps; analysts check every output against the walkthroughs.

Engagement models and commercial variables

Most Netbase projects are delivered on fixed-price contracts agreed after discovery, so the redesigned process turns into a scope with a fixed price. Milestone-based, monthly team retainer and KPI-linked terms are also offered where they fit better. Discovery can also stand alone when another team will build. We do not publish rate cards.

What moves effort and cost: the number of processes, teams and systems in scope, access to people and data, the number of exceptions, and how quickly your side reviews findings.

Technology as an implementation choice

We choose technology after the process is agreed. Where the target process needs services, workflow engines, data stores or APIs, the options come from our backend platforms, and each recommendation states what it costs to run and maintain. When the redesigned process is sales- or service-led, our CRM and workflow automation solution covers leads, approvals and invoicing on proven modules.

Industry applications

Professional services. Firms that sell expertise run on proposals, resourcing, approvals and invoicing spread across email and spreadsheets. Mapping lead to cash usually shows where billable hours leak between the sale and the invoice.

Commerce and print operations. Order intake, artwork checks, production and fulfilment cross several systems. The redesign targets the re-keying and waiting between them.

Professional services: projects, clients and teams on one AI-assisted workspace Professional services: projects, clients and teams on one AI-assisted workspace

Agencies, consultancies and other service firms need projects, proposals, invoices and teams on one workspace instead of five tools, with AI drafting plans and finding answers in past work for people to check. Netbase builds that kind of workspace, and the proof is our own: Cloodo Workspace, the AI-powered work SaaS that Netbase's Cloodo Business Division designed, built and operates.

Proof: process and platform changed together

Evidence maturity: business process transformation is a growth capability. The records below are delivered platforms where the process and the system changed together; neither is published as a stand-alone process engagement.

Geo-Tek IT Solutions (Cyprus). A printing and design-services company needed an online platform that fitted its existing operations. After launch, order processing time fell 30% and repeat transactions rose 24%. Read the Geo-Tek case.

Cloodo (Netbase Business Division). Cloodo is an AI-powered digital workplace for company profiles, services, projects and team collaboration, connecting internal staff and outsourced specialists in one hybrid workspace. It includes CRM, HRM, Cloud ERP and AI modules, so sales, people, operations and finance share one record: the kind of connected process we design for clients. See the Cloodo record.

No. Some steps should be simplified or removed, and some stay manual. Each recommendation states why.

Repetitive, rule-heavy steps with clear inputs and a cheap way to check the result, such as routing requests or drafting quotes. Steps with legal or financial consequences keep a human approval.

Often, yes. Integration with existing systems is usually the first option we test.

Automating the old process. We measure the baseline first and prove the first phase against it.
