What digital workplace automation includes
Most internal work runs on requests, tasks, documents and conversations about all three. In many companies they live in different tools, so people chase status by message and copy data between them. Digital workplace automation joins them into one flow, with an owner and a status for every step. It is part of our Enterprise Platforms family, and like every Netbase service it starts from consulting and solution design rather than from a tool.
Included
- Approval flows for purchases, leave, contracts and content
- Task and project boards linked to the requests that create them
- Document templates, version history and access rules
- Team chat connected to tasks, records and alerts
- CRM, HRM and ERP data shown where people work
- AI assistants and workflow agents with human review
- Training, rollout and an adoption review
Not included
- Replacing your email or office suite
- Device, network or hardware management
- Resale of third-party workplace licences
- Organisation redesign or HR policy advice
- File migration with no change to the process
When to use it, and when another route fits
Workplace automation pays off when the cost of coordination is higher than the cost of the work itself.
Good fit
- Requests and approvals are chased by email or chat
- The same data is re-keyed between CRM, HR and finance tools
- Staff and outside specialists work on the same projects
- Leaders cannot see where work is waiting
Another route fits better
- One small team that only needs a shared task list: an off-the-shelf tool is enough
- The problem is the sales pipeline from lead to invoice
- Nobody on your side owns the process and its rules
- A suite rollout that is already decided and only needs its vendor's configuration
When the problem sits in the lead-to-invoice cycle, our CRM workflow automation solution is the closer fit. Every other route is listed in the services directory.
Outcomes and buyer jobs
Operations and IT leaders hire workplace automation to:
Every request has an owner, a status and a history, so a stalled approval is visible without asking.
A record created once feeds the task, the document and the report.
Role-based access lets contractors and partners work beside staff without seeing everything.
Assistants draft, summarise and route; people approve.
Capability modules and deliverables
A map of requests, approvals, hand-offs and exceptions, with the rules behind them
Configured or custom flows with owners, deadlines and escalation
Templates, version history and permissions per role
Chat linked to tasks and records, with alerts that point to the next action
CRM, HRM and ERP records connected to the workflows that use them
Scoped assistants with review steps and an activity log
Training, admin guides and a usage review after launch
We work from a productized module library that includes a workflow automation toolkit, an AI chatbot and WorkChat integrator, Smart ERP Light and a CRM and B2B sales engine. Where a module fits your process, we configure it; where it does not, we build what is missing.
Delivery process, team and governance
Every workplace project follows our six-step delivery lifecycle:
-
Discovery and strategic alignment
We walk through real requests with the people who handle them and agree the measures that matter, such as approval time and re-keyed records.
-
Team assembly and architecture planning
A solution architect decides which system owns each record and how the workspace connects to it.
-
Agile execution with outcome-based milestones
One high-volume workflow goes live first, so users see value before the rest is built.
-
Modular and productized components
Proven modules cover the common parts; custom work covers what makes your process different.
-
Training, rollout and optimization
Role-based training, admin guides and a review of how the workspace is really used.
-
Ongoing support and co-building
New workflows are added as the team asks for them.
Teams range from 3 to 30 people, and work typically starts within one to two weeks after discovery. The team is itself remote-first and distributed, the way the workspace will be used, and governance includes weekly reviews, KPI dashboards and a dedicated account manager and project manager. Every integration is API-first. A workspace holds sensitive records, so our security practices apply from the first sprint: role-based access control, MFA for admin dashboards, TLS in transit and AES at rest, secure code review and version control.
AI in this service
Through AI integration, AI changes workplace automation in three places: drafting (replies, summaries and first versions of documents), routing (which request goes to whom) and retrieval (finding the policy or the record someone needs). Each assistant gets a narrow job, reads only the data its user's role allows, and hands any decision with financial, legal or HR consequences to a person. Its actions are logged so the process owner can check them. AI-assisted delivery helps us too: code assistance and generated test cases speed up the build, and an engineer reviews every change before release.

Engagement models and commercial variables
Most Netbase projects are delivered on fixed-price contracts agreed after discovery, and workplace automation usually fits that model: the workflows are mapped first, so the build has a clear scope. Milestone-based, monthly team retainer and KPI-linked terms are also offered, and productized modules are licensed one-time or as SaaS. For custom development, the IP created for you is yours; Netbase modules and Business Division products are licensed, not transferred. We do not publish rate cards.
What moves effort and cost: the number of workflows and approval levels, the systems to connect, the number of user roles and permission rules, the data to migrate and the speed of review on your side.
Technology as an implementation choice
A workspace is only as reliable as its back end: APIs, queues, permissions and the audit log. Framework trade-offs are on our backend platforms page.
Cloodo, a Netbase Business Division, is an AI-powered digital workplace for company profiles, services, projects and team collaboration that connects internal staff and outsourced specialists in one hybrid workspace, with CRM, HRM, Cloud ERP and AI modules. When its modules match your process, Cloodo gives the project a running start under a licence; when they do not, the same patterns are built into your own stack.
Technologies we build with
Industry applications
Professional services. Consultancies, agencies and firms that sell expertise run on proposals, projects, timesheets and approvals, often with freelancers beside staff. One workspace keeps client work, people and billing records in step.
Commerce and operations teams. Order exceptions, return approvals and supplier documents move between customer service, the warehouse and finance. Automating the hand-offs keeps each case with one owner until it is closed.
Professional services: projects, clients and teams on one AI-assisted workspace
Agencies, consultancies and other service firms need projects, proposals, invoices and teams on one workspace instead of five tools, with AI drafting plans and finding answers in past work for people to check. Netbase builds that kind of workspace, and the proof is our own: Cloodo Workspace, the AI-powered work SaaS that Netbase's Cloodo Business Division designed, built and operates.

Buyer FAQ
It depends on the number of workflows, systems and roles. The first workflow goes live early, and the plan and its dates are agreed before work starts.
You own the IP created for you in custom development. Netbase modules and Business Division products such as Cloodo are licensed, not transferred.
Yes. Role-based access decides what each person sees, so external specialists can work on a project without access to unrelated records.
Yes. Integrations are scoped in discovery, and each one has an owner and a documented data flow.
Drafting replies and documents, summarising threads, routing requests and finding the right policy or record. Approvals with financial, legal or HR consequences stay with a person.
Support runs Monday to Saturday, with Sunday off, on the Hanoi office days. After rollout you can choose on-demand support or keep a team for new workflows.
Automating a broken process. Discovery removes steps before we automate what is left.
